Job Summary:

We are seeking a highly organized, detail-oriented, and proactive Virtual Assistant to join our mental health practice. In addition to providing administrative support, this role will also be responsible for medical billing tasks, ensuring accurate and timely submission of claims to insurance providers. The ideal candidate will have experience in both administrative assistance and medical billing, preferably in a healthcare setting. This position offers flexibility, with a primary focus on supporting the efficient operation of our practice and ensuring smooth billing processes.

Key Responsibilities:

Virtual Assistant Duties:

  • Manage and respond to emails, phone calls, and general inquiries from patients, ensuring a professional and compassionate approach.
  • Schedule appointments and manage calendars for therapists and practitioners, optimizing the schedule for efficiency.
  • Handle patient intake forms and ensure all required documentation is completed and processed.
  • Maintain and update patient records in our electronic health record (EHR) system.
  • Prepare and manage documents, reports, and correspondence.
  • Assist with office tasks such as filing, data entry, and other administrative duties as needed.
  • Provide excellent customer service to patients, addressing any administrative concerns or questions.

Medical Billing Duties:

  • Review and verify patient insurance information, ensuring accurate billing details are captured.
  • Submit claims to insurance companies and follow up on pending or denied claims.
  • Ensure compliance with all applicable laws and regulations, including HIPAA and insurance requirements.
  • Post payments, process adjustments, and maintain accurate records of all billing activities.
  • Communicate with insurance companies, patients, and providers regarding billing inquiries or discrepancies.
  • Resolve billing issues and disputes, working closely with patients and insurance companies to facilitate timely payments.

Skills & Qualifications:

  • Proven experience as a Virtual Assistant, Medical Biller, or similar administrative role, ideally within a healthcare or mental health setting.
  • Strong understanding of medical billing procedures, CPT/ICD-10 codes, and insurance claims processing.
  • Familiarity with electronic health record (EHR) systems and practice management software.
  • Excellent organizational and time-management skills, with the ability to prioritize and handle multiple tasks.
  • Strong communication skills, both written and verbal, with the ability to work independently and as part of a team.
  • Proficient in Microsoft Office Suite (Word, Excel, etc.) and comfortable with virtual communication tools.
  • High attention to detail, problem-solving abilities, and a proactive work ethic.
  • Ability to maintain confidentiality and follow HIPAA guidelines.

Education & Experience:

  • High school diploma or equivalent required; Associate’s degree or certification in medical billing or office administration preferred.
  • At least 1-2 years of experience in a virtual assistant or medical billing role, preferably in a healthcare or mental health environment.
  • Knowledge of insurance verification and claims processes.

Compensation:

Competitive hourly rate based on experience. This is a remote, part-time/full-time position.
